TRADE SHOW AND EVENT PLANNER

Georgia-Pacific is seeking a Trade Show and Event Planner to join the GP Events team to plan and execute trade shows and events. The Trade Show and Event Planner is a highly visible role which demands extensive customer service and communication skills, a high level of professionalism and willingness to handle all planning and administrative details of trade shows and events. This role will support events sponsored by Koch companies. The Trade Show and Event Planner will be responsible for full-cycle event planning of trade shows, business meetings, customer entertainment functions and other company-sponsored events. The ideal candidate must thrive in a challenging and fast-paced environment where prioritizing and multi-tasking are the norm. The candidate must be a great team member and willing to roll up their sleeves and pitch in to help their colleagues when needed. Exceptional attention to detail and organizational skills are mandatory. The Trade Show and Event Planner will report to the GP Events Senior Manager.

What You Will Do In Your Role

  • Manage logistics and deliverables for tradeshows: including but not limited to booth registration and meeting space, trade show sponsorship and client events, registration badges, managing housing, ordering trade show services, booth displays, giveaways, marketing samples and collateral, shipments and multimedia needs
  • Key liaison and contact for sales teams, marketing teams and event vendors for all trade show and event-related functions
  • Collaborate with sales leads and exhibit warehouses to create and execute tradeshow booth renderings and manage booth shipping and receiving
  • Manage hotel room blocks including sourcing, contracting, submitting rooming lists and communicating reservation changes and confirmations
  • Execute full meeting planning activities including sourcing, site visits/inspections, budgeting, scheduling, on-site staffing, audio visual and housing resources, food and beverage, ground transportation, and all other event-related services
  • Manage contractual agreements with hotel properties, event venues, Destination Management Companies, Audio Visual Production companies and all other vendors that provide meeting and event-related services
  • Plan and manage multiple meetings and events simultaneously
  • Design, develop and maintain registration websites using Cvent Event Management System
  • Design, create and distribute event-related communications and collateral
  • Prepare detailed BEO information with event venues
  • Oversee event preparation, signage, supplies ordering and packing/shipping of event materials
  • Provide onsite expertise and coordination at trade shows and events
  • Establish and monitor budgets, process and reconcile event invoices and maintain financial records
  • Prepare post-event surveys and analysis
  • Perform a variety of routine clerical and administrative duties supporting the GP Events team’s planners and managers
  • Process event invoices, check requests and reconcile monthly purchasing statements
  • Carries out responsibilities in accordance with the organization’s policies, procedures, and state, federal and local laws


The Experience You Will Bring

Requirements:

  • Bachelor’s degree
  • 3+ years of trade show and event management experience
  • Able and willing to travel up to 25% of the time and work weekends/evenings as necessary
  • Able and willing to travel internationally as necessary
  • Able and willing to work non-traditional business hours to accommodate different time zones
  • International trade show and event planning experience


What Will Put You Ahead

  • Bachelor’s degree in Hospitality Management, Marketing or Business Administration
  • Certified Meeting Professional (CMP) designation
  • 3+ years of trade show and event management experience for a major corporation with a high volume of trade shows and meetings
  • Experience with Cvent Event Management Software

  • Ability to learn new computer software as needed to improve presentations/meetings/events
  • Ability to consistently display a positive, professional, customer service focus
  • Ability to proactively set priorities and manage workflow to ensure efficient, timely and accurate completion of responsibilities; ability to keep multiple projects in process simultaneously
